A Specification Is a Shared Understanding
A good specification is not paperwork for its own sake. It is how a client, agency and supplier agree what will be built, how it must perform and what counts as finished.
Sections Worth Including
Whether you write it alone or with us through our partnership service, the following headings keep a specification useful.
- Purpose and audience — what it must achieve and who will use it
- Functional description — what happens when someone interacts
- Performance — operating hours, simultaneous users and response times
- Environment — indoor or outdoor, temperature, dust, noise and lighting
- Safety and compliance — risk assessments, insurance and standards

Cover the Boring Parts Too
Include delivery dates, installation access, content responsibilities, training, warranty and support. Say who supplies what: screens, power, network and content. Leaving these unstated is a common cause of delay.
Specify how success will be tested and signed off.
Keep It Alive
Specifications change as designs develop, so keep a version history and agree how changes are approved. Our delivery team will work with whatever format you use, and can help turn a loose brief into a clear specification.
